In short: Judge any CRM with a built-in dialer on seven things: one screen for the rep, every touch logged by itself, a dialer that does the dialing, a view for the manager, guardrails that run on their own, the whole price, and a clean way in and out. Maxwelo is a sales platform for any team that sells. Its power dialer, two-way SMS and email run on one screen in the CRM + Dialer plan, at $99 per user per month billed annually; email sequences and campaigns join them in Complete, at $119.
A CRM (customer relationship management system) is where a sales team keeps its contacts and deals. A power dialer calls down a list for you, so a rep spends the hour talking instead of dialing. “Built-in” means the dialer, the texting and the email are part of the CRM itself: a rep works a contact from one screen, and each call, text and email lands on that contact’s record without anyone typing it in.
We make one of these tools. So this guide gives you the questions first and our own answers second, each with the page it comes from. Ask every vendor the same questions, us included.
What the job needs
1. One screen for the rep. A rep should be able to call, text and email a contact from the contact’s record or from the deal, without opening another tool. If your reps switch tabs to call, text and log, test this first. Ask to watch one contact worked by phone, text and email in a single sitting.
2. Every touch logged by itself. “Auto-logged” should mean more than a line saying a call happened. For a call: the outcome, the recording and the transcript. For a text or an email: the message itself, in both directions. All of it on the contact’s timeline and on the deal, with nothing typed afterwards.
3. A dialer that does the dialing. A list or a queue, the next call ready when the last one ends, a voicemail left in one click, a script on screen. And when a prospect calls back, the call should reach someone who can see the history.
4. A view for the manager. The pipeline on a board, the numbers for each rep, and a way to listen to a live call and coach the rep during it.
5. Guardrails that run on their own. Calling hours, recording announcements and text opt-outs should be handled by the software, not by a rep remembering them. Which rules apply to your team is a question for your own counsel. What you can ask a vendor is what the software does without being told.
6. The whole price. The price per person, which plan each channel is in, what annual and monthly billing cost, how many users a plan allows, and anything charged by use: minutes, messages, phone numbers.
7. A clean way in and out. How your contacts get in, what the contract commits you to, and how your data comes out if you leave.
Questions to ask any vendor, and what Maxwelo does
| Question to ask | What Maxwelo does | Where it says so |
|---|---|---|
| Can a rep call, text and email a contact from one screen? | Yes. Calling, texting and email all run from one screen, in the browser. A rep can click to call from anywhere in Maxwelo, and dial, text or email straight from a deal’s card. | maxwelo.com/how-it-works · /features · /features/pipeline |
| What exactly gets logged, and does anyone have to type it? | Every call, text and email writes itself to the contact’s timeline and attaches to the right deal, with timestamps, recordings and transcripts. Once a rep connects a mailbox, sent and received email syncs both ways and logs to the matching contact, with no BCC address and no browser plug-in. The email page lists the mail services it connects to. | maxwelo.com/how-it-works · /features/pipeline · /features/email |
| Does the dialer work down a list? What happens at voicemail, and on a callback? | A power dialer in the browser, with call queues. Call scripts, one-click voicemail drop and one-click call outcomes. Calls are recorded and transcribed. Maxwelo can show a local number that matches the prospect’s region, and each rep can have their own caller ID. Callbacks and inbound calls route to the right rep or team, and a live call can be passed on with a warm or blind transfer. | maxwelo.com/features · /features/power-dialer |
| Do reps need desk phones, hardware or installed software? | No. Maxwelo runs entirely in the browser, and a laptop and a headset is the whole kit. You can bring your own number or get a new one. | maxwelo.com/faq · /how-it-works |
| Is texting two-way, and can the team see it? | A real-time two-way SMS inbox inside the CRM, with templates and bulk and campaign texting. Every text threads to the contact, next to the calls and emails. | maxwelo.com/features · /features/sms |
| Does email sync with our mailboxes, and can it follow up for us? | Two-way email sync, open and click tracking, reusable templates, sequences that pause when the prospect replies, bulk campaigns, and unsubscribe and suppression management. Reps can also send from their own address through any mail provider (custom SMTP). Sync, custom SMTP and tracking are in every plan. Sequences and campaigns are in CRM + Email Marketing and Complete. | maxwelo.com/features · /features/email · /pricing |
| Can a manager see the pipeline and coach a live call? | Drag-and-drop pipeline boards, where every card shows the deal’s value, owner, age and last touch. Weighted revenue forecasting and dashboards for reps and managers, in every plan. On a live call a manager can listen, whisper to the rep or join the call. Coaching notes and call-quality scoring. | maxwelo.com/features · /features/pipeline · /features/analytics · /pricing |
| Which guardrails run without the rep? | Calling hours are enforced in the contact’s local time zone, and off-hours calls are blocked before they connect (Maxwelo’s TCPA calling-hours guardrails). Recording-consent announcements play automatically, by state. Text STOP and opt-out requests are handled automatically. | maxwelo.com/features/compliance · /features |
| Who can see what, and how is our data protected? | Access is by role: admin, manager, rep and marketing. The pricing page lists standard role-based permissions on every plan and advanced permissions on Enterprise. Each customer’s data is kept separate and is encrypted in transit and at rest. The audit log comes with the Enterprise plan. | maxwelo.com/features/compliance · /features · /pricing |
| What does it cost per person, and which plan has the dialer and texting? | Published prices per user per month, billed annually: CRM $29, CRM + Email Marketing $59, CRM + Dialer $99, Complete $119, Enterprise custom. The power dialer and two-way SMS are in CRM + Dialer and Complete; email sequences are in CRM + Email Marketing and Complete. Paying month to month costs about 20 percent more. | maxwelo.com/pricing |
| What is charged on top of the price per person: minutes, messages, phone numbers? | The pricing page lists what each plan includes every month: on the dialer plans, 750 calling minutes, 300 transcription minutes, 500 text messages and one local phone number per user; on the email marketing plans, 5,000 marketing emails per user. More comes in monthly packs, such as 250 calling minutes for $15 or 500 text messages for $14. Ask us for your team’s full monthly cost in writing before you start. One cost sits outside Maxwelo: prospecting works through your own business-data provider account, and its credits come out of that account. | maxwelo.com/pricing · /faq |
| Are we locked into a contract? | No long-term contract is required: you can pay month to month and cancel at any time, with no penalty. Annual billing is the lower rate. | maxwelo.com/faq · /pricing |
| How do our contacts get in, and how does our data get out? | Companies and contacts come in by CSV file, the plain file any spreadsheet can save. You see a preview before anything is written. A company that already exists is matched, and only its blank fields are filled. Importing the same file again does not create duplicates. It is a file import, not a live sync with your old system. CSV export is listed for every plan. | maxwelo.com/faq · /features · /pricing |
| What help do we get, during setup and after? | Every plan includes onboarding help, email and chat support from Maxwelo’s own team, and a knowledge base. Enterprise adds a dedicated success manager. | maxwelo.com/faq · /pricing |

Three questions buyers ask, answered for Maxwelo
Best CRM with a built-in dialer and SMS for outbound sales
No tool is the best for every team, and we will not call ours that. The best one for your team is the one that passes the seven checks above with your own list and your own reps. Here is what Maxwelo brings to that test: a power dialer in the browser with call queues, a real-time two-way SMS inbox, and email with sequences, on one screen, with every call, text and email logged to the contact and the deal. All three channels are in the Complete plan; CRM + Dialer has the dialer, texting and email sync without the sequences.
Which sales dialers include two-way SMS and email in one screen?
We can answer for ours. In Maxwelo, calling, texting and email all run from one screen, in the browser. A rep can dial, text or email from a contact or straight from a deal's card, and every call, text and email is logged by itself.
All-in-one CRM with dialer, SMS and email under $100 per user
Maxwelo's CRM + Dialer plan is $99 per user per month, billed annually, for up to 100 users. It includes the built-in power dialer with recording and transcription, two-way SMS, and Gmail and Outlook sync with open and click tracking, along with pipelines, revenue forecasting and manager dashboards. Email sequences and campaigns are in the Complete plan, at $119. Check two things against your budget. Paid month to month, the price is about 20 percent higher, which puts it over $100. And each user's calling and texting is included up to a monthly amount: 750 calling minutes, 300 transcription minutes and 500 text messages. More comes in monthly packs, listed on the pricing page.
What Maxwelo is, and when it is more than you need
Maxwelo is a sales platform for any team that sells, in any industry. It is new: the company was founded in August 2026 and does not yet publish customer stories.
The dialer plans are more than you need if your team does not call or text. CRM has the pipeline, email sync and tracking at $29 per user per month, and CRM + Email Marketing adds campaigns and sequences at $59. And if you have more than 100 users, the Enterprise plan is priced for your organization.
Questions and answers
What does built-in mean for a dialer?
It means the dialer is part of the CRM itself. In Maxwelo the power dialer lives inside the CRM: a rep clicks to call from a contact, a list or a deal's card, and the call is recorded, transcribed and logged to that contact.
Do we need a phone system to use the dialer?
No. Maxwelo runs entirely in the browser. A laptop and a headset is the whole kit: no desk phones and nothing to install.
Can we pay month to month?
Yes. Plans are priced per user and billed annually, and monthly billing is available at about 20 percent more. No long-term contract is required, and you can cancel at any time with no penalty.
How many people can use each plan?
Every plan allows up to 100 users. Enterprise has no user limit.
Can we bring our contacts from a spreadsheet or another system?
Yes. Export your companies and contacts to a CSV file and import it. Maxwelo shows a preview before anything is written, fills only the blank fields of a company that already exists, and does not create duplicates if the same file is imported again.
Is Maxwelo built for one industry?
No. Maxwelo is a sales platform for any team that sells, in any industry.
