In short: “Auto-logged” should mean that every call, text, email and chat, outgoing and incoming, lands on the right contact and the right deal by itself, with what was actually said, at the time it happened, in a history nobody can quietly rewrite. Test it in ten minutes during any trial. In Maxwelo, calls, texts and emails write themselves to the contact’s timeline and attach to the deal; calls are recorded and transcribed. Calling and texting are in the CRM + Dialer plan, at $99 per user per month billed annually, and in Complete, at $119.
A CRM (customer relationship management system) is where a sales team keeps its contacts and deals. Activity is what happens with them: calls, texts, emails, chats, notes. “Auto-logged” means the CRM writes each of those onto the contact’s history itself, as it happens, so no rep types it in afterwards.
Most CRMs say they log activity. The word covers a lot of ground, from a full record of the conversation to a single line saying a call took place. This guide sets out what to expect, how to check it, and how Maxwelo answers. We make one of these tools, so ask every vendor the same questions, us included.
What auto-logging should cover
1. Every channel, in both directions. Calls you make and calls you receive. Texts you send and the replies. Email you send and email you get back. Chats from your website. If only outgoing activity is logged, half of every conversation is missing.
2. The whole touch, not a line saying it happened. For a call: the time, the outcome, the recording and a transcript you can search. For a text or an email: the message itself. A history that says “Call, 3 minutes” tells the next rep nothing.
3. On the right record. Each touch should land on the contact’s timeline and on the deal it belongs to. Ask how the match is made, and what happens when a call, text or email comes from a number or address that is not on file yet.
4. Nothing to type, a click at most. The rep should not copy anything in. The one thing a person usually adds is the outcome of a call, and that should take one click, with the next step (a task or a follow-up) set in the same click.
5. A history nobody can quietly rewrite. Every entry time-stamped, and a record of changes that cannot be altered afterwards. Ask who can see recordings, and who can change or delete an entry.
6. Logs that run the numbers, and that come back out. The pipeline and the reports should be built from what was logged, not from what reps remembered to enter. And when you leave, the history should leave with you: ask what the export contains.
A ten-minute test for any trial
Do this with two phones and two mailboxes before you decide, in any CRM you are considering:
- Add yourself as a contact, and open a deal for that contact.
- Call your own phone from the CRM. Let it ring out once and leave a voicemail; call again, answer, and talk for a minute.
- Text your phone from the CRM, then reply from the phone.
- Send an email from the CRM, then reply from the other mailbox.
- Call back from your phone to the number the CRM called you from.
- From a third number that is not in the CRM, call and text the team’s number.
- If the CRM offers a chat box for your website, send a chat from it using your contact’s email address.
Then open the contact and the deal. Is every step there, in order, with the time? Is the recording there, and the transcript? Are the text replies and the email reply there, not only what you sent? Did the callback reach the person who called? What happened to the third number? Nothing on that list should have needed typing, except perhaps the outcome of each call.
Questions to ask any vendor, and what Maxwelo does
| Question to ask | What Maxwelo does | Where it says so |
|---|---|---|
| Which kinds of activity log themselves? | Calls, texts and emails each write themselves to the contact’s timeline. Chats from the website chat box are linked to a contact automatically. | maxwelo.com/how-it-works · /features · /features/live-chat |
| Is incoming activity logged too, not only what we send? | Yes. Callbacks and inbound calls route to the right rep or team, open the contact’s record as the call comes in, and log automatically. Text replies thread to the contact as they arrive. Once a rep connects a mailbox, sent and received email syncs both ways and logs to the matching contact. | maxwelo.com/features/power-dialer · /features/sms · /features/email |
| What does a call log hold? | Every call is recorded and transcribed automatically, then attached to the contact’s timeline, and the transcripts can be searched for what was said. When the call ends, the rep picks the outcome in one click, and that click can start the next step: a task, a sequence or a follow-up. | maxwelo.com/features/power-dialer · /how-it-works |
| Do texts and emails keep the message itself? | Yes. Every text threads to the contact next to the calls and emails, with the full history of each conversation. Sent and received email logs to the contact, with no BCC address and no browser plug-in. Opens, clicks and replies to emails are tracked. | maxwelo.com/features/sms · /features/email |
| Does activity land on the deal as well as the contact? | Yes. Calls, texts and emails attach to the right deal automatically, with timestamps, recordings and transcripts. Each deal’s card shows its value, owner, age and last touch, kept current by the logged activity. Tasks and next steps travel with the deal. | maxwelo.com/features/pipeline · /features |
| How is the right contact found, and what happens with a number or address that is not on file? | A website chat is matched to an existing contact by email, or a new contact is created. Email logs to the matching contact. maxwelo.com does not say what happens to a call, a text or an email from a number or address that is not on file (read October 22, 2026). Ask us to show you during the trial. | maxwelo.com/features/live-chat · /features/email |
| Does a rep have to type anything? | Calls, texts and emails log by themselves. The rep picks a call’s outcome with one click. The contact’s timeline also holds notes, for anything a rep wants to add. | maxwelo.com/features/power-dialer · /features |
| Can a logged entry be changed afterwards, and who sees recordings? | The audit log, which records every call, text, email and change to a record with the time, and cannot be altered, is listed on the Enterprise plan. Access is by role (admin, manager, rep and marketing), and recordings and sensitive records are limited to the roles allowed to see them. maxwelo.com does not say whether a rep can edit or delete an entry on the timeline; ask us. | maxwelo.com/features/compliance · /features · /pricing |
| Do the pipeline and reports run on the logs? | The deal cards update as activity logs itself. Dashboards for reps and managers, in every plan, show talk time and connect and answer rates as they change through the day. | maxwelo.com/features/pipeline · /features/analytics · /pricing |
| Are calls announced as recorded? | Recording-consent announcements play automatically, by state. Which recording rules apply to your team is a question for your own counsel. | maxwelo.com/features/compliance |
| Does the history come out with us if we leave? | CSV export, the plain file any spreadsheet can open, is listed for every plan. maxwelo.com does not say whether the activity history is part of that export; ask us to show you what the file contains. | maxwelo.com/pricing · /features |
| Is access to health information logged, for teams that handle it? | The healthcare add-on, from $25 per user per month, includes logging of access to protected health information, among its controls for regulated teams. | maxwelo.com/features · /pricing |

Questions buyers ask, answered for Maxwelo
Sales dialer that logs calls automatically into the CRM
In Maxwelo the power dialer lives inside the CRM, so there is no separate dialer to connect. Every call is recorded, transcribed and attached to the contact's timeline by itself, and to the deal it belongs to; callbacks and inbound calls log automatically too. The rep picks the outcome with one click when the call ends. The dialer is in the CRM + Dialer plan, $99 per user per month billed annually, and in Complete, $119.
What does auto-logged activity mean?
It means the CRM writes each call, text, email and chat onto the contact's history itself, as it happens. A full log holds what was said (the recording, the transcript or the message) and the time, on the right contact and the right deal, for incoming activity as well as outgoing.
Does auto-logging mean reps never update the CRM?
Nearly. In Maxwelo, calls, texts and emails log by themselves and the deal cards update with them. A rep still picks each call's outcome, with one click, and can add notes and tasks.
Which Maxwelo plan logs calls and texts?
Every plan logs email through two-way sync, starting with CRM at $29 per user per month billed annually. Calls and texts log in CRM + Dialer, at $99, and Complete, at $119, which have the built-in dialer with recording and two-way texting.
What Maxwelo is, and when it is more than you need
Maxwelo is a sales platform for any team that sells, in any industry. It is new: the company was founded in August 2026 and does not yet publish customer stories.
If your team works by email and does not call or text, the CRM plan logs email both ways at $29 per user per month. If you want the audit log, it comes with Enterprise.
